TrackerRMS integration: your candidates read, prescreened and presented

The TrackerRMS integration brings the assignments and candidates your agency tracks in TrackerRMS into Delectus. Delectus reads them, explains why each one does or doesn't fit the role, has its agents check their interest and works with you on the submissions you'll send to your clients.

Delectus AI

The agents take it from there

  • Resumes read, ranked and explained
  • SMS screening agent
  • Voice prescreening agent
  • AI-led or assisted interview
Job postings, applications and resumes from TrackerRMS flow into Delectus. Nothing is changed in TrackerRMS: you keep your ATS exactly as it is.

What takes time at an agency

  • Reading before you can judge. Before deciding who to call, you have to read every resume and compare it with the role. On a busy assignment, that's half a day.
  • Reaching the right candidates. The best profiles are often employed. Reaching them at the right moment takes patience and follow-ups.
  • Redoing the submission for every client. The candidate's resume has to be reformatted in the agency's layout, with a summary the client will read first.

How the TrackerRMS integration works

  1. Connection authorized. An administrator on your TrackerRMS account authorizes Delectus during setup.
  2. Read-only. Assignments, candidates and resumes are copied into Delectus. TrackerRMS is not changed.
  3. The work happens in Delectus. Ranking, prescreening, the interview and the client submission then happen in Delectus.

TrackerRMS integration: how it works

TrackerRMS is recruiting software used by agencies to track their assignments, candidates and clients. The integration links your account to Delectus, which reads that data without ever changing it.

You keep running your business in TrackerRMS. Delectus steps in on what takes your recruiters the most time: reading resumes, prescreening and formatting submissions.

Understanding why a candidate is at the top

The Delectus ranking isn't a score out of nowhere. For each candidate, the match score is broken down criterion by criterion: experience close to the role, must-have skills, location. The recruiter sees at a glance what puts one profile ahead of another, and can dismiss a reason they think was misread.

The AI summary sums up the candidate's strengths and gaps for this role. It's the starting point for the call, and later for the client submission.

That level of detail matters when several recruiters work for the same client. They share the same reading of candidates, based on the assignment's criteria, and can discuss a profile by pointing to a specific criterion rather than a gut feeling. The ranking stays a tool: a recruiter who knows a candidate personally can always move them forward in the pipeline.

Candidates contacted while you're in meetings

The SMS prescreening agent reaches out to shortlisted candidates, identifies itself as an AI and asks for their consent. It checks their interest, availability and expectations, in a tone suited to someone replying from their desk at work. If there's no reply after two reminders, the voice prescreening agent calls. When you come out of your meeting, the answers are in the candidate profile, and a notification flags every new reply.

A client submission ready to review

After the interview, held over video in Delectus with a question kit and a transcript, the topic-by-topic report and the summary feed into the candidate submission. It's generated in the agency's branding, anonymized if the client asks, and shared as an export or by link. The recruiter adds their assessment, which remains the most-read part of the submission.

A client asks for a manufacturing financial controller. The assignment synced from TrackerRMS arrives in Delectus with its candidates, plus past candidates from the database who fit. The recruiter sees at the top the profiles who have worked in a plant, with the reason written next to each one.

They keep eight. The agents check their interest and expectations while the recruiter is at another client's office. The next day, they run four video interviews, read the topic-by-topic reports and send the client three submissions, all built on the same template. The client compares candidates on the same headings, and the decision comes faster.

Candidate privacy

Data copied from TrackerRMS is hosted in the European Union and is never used to train models. Candidates know they're talking to an AI, and the recruiter alone decides who gets presented to the client.
