Voice agent

An AI voice agent that prescreens your candidates by phone

Delectus's voice agent calls your candidates, introduces itself as an AI and runs the prescreening call for you. It checks availability, expected salary, location and key skills, then leaves you the transcript, a summary and a completed candidate profile.

What phone prescreening costs you

  • Candidates you can't reach. Candidates are at work, don't pick up and call back when you're in a meeting. Reaching each one takes several attempts.
  • Calls that all sound the same. The same questions, asked of every candidate, take up a large part of the day without teaching you anything new.
  • Answers poorly noted. Squeezed between two calls, you take notes fast. The candidate profile doesn't always reflect what the candidate actually said.

How the voice prescreening agent works

  1. You set the questions. The prescreening questions and must-have criteria come from your job opening. You adjust them if needed.
  2. The agent calls the candidate. At the time agreed with them, or as a follow-up to the SMS agent when the candidate hasn't replied. It says right away that it's an AI.
  3. You read the summary. The transcript, the summary and the answers to each criterion land in the candidate profile, and you decide what happens next.

What is an AI voice recruiting agent?

An AI voice recruiting agent is artificial intelligence that talks with candidates on the phone. It understands what the candidate says, answers out loud and leads a structured conversation around the questions you chose.

It handles the prescreening call, the one that checks the role's basic requirements before the interview. The recruiter keeps their time for the candidates who fit, and for the conversations where their presence makes a difference.

How the voice agent leads the conversation

A traditional phone menu makes you press keys or waits for specific words. With the voice agent, the candidate answers in their own words. The agent rephrases to check it understood, and follows up when an answer stays vague.

If the candidate asks a question about the role, the agent answers from the job opening. If it doesn't know the answer, it says so and notes the question for the recruiter, rather than making something up.

The candidate can interrupt it at any time; the agent stops and listens. Background noise is filtered out, which matters for a call taken on the street or in the car. The voice is French, with a calm, measured pace.

Example call with the voice agent

"Hello, I'm the company's recruiting assistant, an artificial intelligence. I'm calling about your application for the maintenance technician role, as agreed. Do you have a few minutes?" The candidate says yes. The agent checks their availability, the area they can travel to, the electrical certification required in the job posting and their salary expectations.

When the candidate answers "I have the certification, well, I need to renew it", the agent immediately follows up: "Do you know when it expires?" That kind of detail, often lost on the phone, ends up in the summary sent to the recruiter.

What the recruiter gets after the call

Every call is saved to the candidate profile, and a notification tells you as soon as it's over.

  • The full call transcript
  • A summary in a few lines
  • The candidate's answer to each criterion in the job opening, with expected salary and notice period stored in their fields
  • Points to check, such as a hesitant answer or a question left open

From phone call to meeting

After the call, the candidate moves through the job's kanban like everyone else. You see at a glance who has been called, who is still to be reached and who is ready for an interview. If you work as a team, you can assign a colleague a task on the candidate profile, such as calling the candidate back about a specific point.

When the answers fit, the meeting is booked into your slots. The built-in calendar syncs with Outlook and Teams, so the slots offered to the candidate are your actual free slots.

Voice agent and SMS agent: two channels that complement each other

Some candidates prefer writing, others are more likely to pick up the phone. The SMS prescreening agent often opens the conversation. When the candidate doesn't reply after two follow-ups, the voice agent takes over and calls them. If the call doesn't get through either, the recruiter is alerted and takes over.

The candidate can also ask, by text, to be called later. The agent then schedules the call for the time they chose.

Which roles should you prescreen with a voice agent?

The voice agent is most useful in a few specific situations.

  • Application volume is high and every candidate needs to be reached quickly
  • Candidates work in the field and rarely read their email, such as technicians, sales reps, or logistics and care workers
  • Specific conditions need to be checked before the interview, whether hours, a driver's license, a certification or location
  • An old talent pool needs to be re-engaged for a new opening

Transparency and human oversight

The voice agent says within the first few seconds that it's an artificial intelligence. The candidate knows who they're talking to and can end the call at any time.

The agent doesn't make any hiring or rejection decision. It collects answers, sorts them by criterion and flags points to check. The recruiter reviews, listens if needed and decides. Data is hosted in the European Union.

Frequently asked questions

Do candidates know they're talking to an AI?

Yes. The voice agent introduces itself as an artificial intelligence at the start of the call, and the candidate can end the conversation at any time.

What happens if the candidate doesn't pick up?

When the call follows unanswered texts and doesn't get through, the recruiter is alerted so they can take over. No candidate is forgotten.

Can the voice agent reject a candidate?

No. It collects and organizes the answers, and the decision always belongs to the recruiter.

Can I review the calls?

Yes. The full transcript and summary of every call are available in the candidate profile.

What's the difference between a voice agent and a recruiting chatbot?

A chatbot communicates in writing, on a website or by message. A voice agent talks with the candidate on the phone. Delectus offers both, with the voice prescreening agent and the SMS prescreening agent.

How long does a prescreening call last?

A few minutes, depending on how many questions are set for the role. A short call is more pleasant for the candidate and is enough to check the basic requirements.
