What the agency would like to hand off
- The first screen. Ruling out off-target profiles and spotting the good ones means reading every resume in full.
- First contact. Checking every candidate's interest and availability takes longer than the interview itself.
- Scheduling. Finding a time that works with an employed candidate often turns into an email back-and-forth.
How the Recruiterflow integration works
- You connect your account. A Recruiterflow administrator grants access from Delectus during setup.
- The data is copied. Assignments, candidates and resumes arrive in Delectus, read-only.
- The agents get to work. Screening, prescreening and scheduling happen in Delectus; you take over for the interview.
What is the Recruiterflow integration for?
Recruiterflow is recruiting software used by agencies to track their candidates and clients. The integration lets Delectus read your assignments and candidates to apply its screening and prescreening agents. Nothing is written to Recruiterflow.
Handing the first screen to AI
Every resume is read by AI, compared with the assignment's criteria and ranked with an explained match score. Clearly off-target candidates aren't rejected, though: they stay visible, just lower on the list, and the recruiter can move them up if they see something the AI didn't pick up on.
For each profile, a summary of strengths and gaps fits in a few lines. Before deciding, the recruiter can ask the AI chat whatever they want to know about the resume.
The ranking criteria come from the assignment. If the client refines the need along the way, for example by adding a language or relaxing the required experience, you just update the criteria: the ranking is recalculated, and the questions the agents ask follow suit.
Handing first contact to the agents
The SMS prescreening agent texts shortlisted candidates, introduces itself as an AI, asks for their consent and asks the assignment's questions. It adapts its tone to a hesitant or rushed candidate and spots answers that don't add up. If the messages go unanswered, two reminders go out, then the voice prescreening agent calls. The recruiter only gets pulled in if the candidate can't be reached, or once they're prescreened.
Handing off scheduling
When a candidate is a fit, the agent offers time slots taken from the recruiter's real calendar, synced with Outlook or Teams. The candidate picks one, the interview is booked, and the recruiter gets a notification. The interview can then take place over video in Delectus, with a live transcript, follow-up question suggestions and a report organized by topic at the end.
Where to start with the Recruiterflow integration
The simplest approach is to start from a live assignment with candidates already in Recruiterflow. Once the connection is authorized, the assignment and its candidates show up in Delectus. The recruiter checks the suggested ranking, adjusts the criteria if they see fit, then chooses which candidates to hand to the agents.
After a few days, the team sees candidates' answers arriving in their profiles and interviews landing on calendars. You then extend usage to other assignments, without changing anything about how you work in Recruiterflow.
Example: a customer service representative role
For a customer service representative role, an agency receives about sixty applications. Delectus ranks them by customer-facing experience, availability and location. The recruiter keeps fifteen; the agents check their interest and preferred hours, then offer a time slot to the candidates who are a fit. The recruiter starts the next day with six interviews already booked.
Data and transparency
Synced data is hosted in the European Union and is never used to train models. Candidates always know they're talking to an AI, and the recruiter decides what happens next.
