Hiring when you're the only one in HR
- Recruiting on top of everything else. Payroll, time off, onboarding: recruiting often comes last, and applications wait.
- Roles that are always open. At a growing company, there's always a job posting live, and never a quiet period to screen.
- Managers waiting for names. The team lead wants candidates to meet, not a stack of resumes.
How the ApplicantStack integration works
- Connection. An ApplicantStack administrator grants access from Delectus.
- Read-only sync. Jobs, applications and resumes are read. ApplicantStack is not changed.
- Work in Delectus. Explained rankings, prescreening, interviews and sharing with managers.
What is the ApplicantStack integration for?
ApplicantStack is applicant tracking software for small and mid-sized businesses. It centralizes jobs and candidates.
The ApplicantStack integration brings that data into Delectus, with no export and no double entry. The sync is read-only. You keep ApplicantStack as your system of record, and Delectus takes on the repetitive work that follows every application.
Getting back hours of screening every week
For each job, resumes are read as soon as they arrive, turned into structured profiles and compared with the role's criteria. You get a ranked list, with a match score and the reasons behind it for each candidate. If a ranking surprises you, the criterion-by-criterion breakdown tells you where it comes from, and the AI chat answers a specific question about the profile, for example "has he ever managed a portfolio of enterprise accounts?".
Example: three roles open at the same time
An 80-person company opens an accountant role, a technician role and a sales assistant role at the same time. The sole HR person can't read everything. In Delectus, each job has its own ranked list and kanban board. The SMS prescreening agent asks shortlisted candidates about their availability, their expectations and, for the technician, their driver's license and service area.
The HR manager spends her morning on the most promising candidate profiles and books interviews with the relevant managers, instead of spending her week on the phone.
What happens to a candidate who isn't selected?
They stay in the Delectus profile database, searchable in plain language. If a similar role opens in six months, they're suggested with their score and the reasons behind it, and the agent can check whether they're still available. Data follows your retention periods and is hosted in the European Union.
Letting the agents handle first conversations
The SMS prescreening agent reaches out to shortlisted candidates, introduces itself as an AI, gets their consent and asks the job's questions. It follows up when one answer contradicts another and adapts its tone to a hesitant candidate. The voice prescreening agent takes over by phone if messages go unanswered after two reminders, and you're alerted if nobody picks up.
On Monday morning, instead of calling twenty people back, you read twenty completed candidate profiles and choose who to meet.
Giving managers what they're waiting for
Managers don't need ApplicantStack access to give their feedback. The candidate's file is shared through a link that opens without an account, and you can assign them a task in Delectus, like reviewing a profile or approving a time slot. Interviews are booked in real open slots, thanks to the calendar synced with Outlook or Teams.
